Job Title: Administrative Specialist (Accounts Receivable)

Atlantic Tire Distributors, located in Ridgeville, SC, is currently seeking a full-time Administrative Specialist with a strong background in accounts receivable and payment processing. Summary: The Administrative Specialist will oversee front-of-house administrative operations, with a primary focus on accounts receivable functions. Working closely with the Warehouse Manager, this role ensures the location’s financial and administrative tasks are completed accurately, timely, and in alignment with company procedures.

Key Responsibilities:

1. Payment Processing & Cash Application

  • Receive and process incoming payments from businesses (cash, check, credit card).
  • Accurately apply payments to customer accounts in the accounting system.
  • Monitor unapplied or misapplied payments and resolve discrepancies.

2. Daily Deposits & Reconciliation

  • Prepare and make daily bank deposits.
  • Reconcile daily payment activity with internal systems and warehouse records.
  • Investigate and resolve reconciliation discrepancies.

3. Customer Account Support

  • Respond to customer inquiries related to billing, payments, and account balances.
  • Research and resolve account discrepancies or issues promptly and professionally.
  • Work with internal teams to resolve customer concerns.

4. Internal Reporting

  • Generate regular internal reports on payment activity, outstanding balances, and deposit logs.
  • Assist management with financial reporting related to accounts receivable and cash flow.
  • Maintain accurate logs and documentation for audit and compliance purposes.

5. Sales Support

  • Collaborate with sales representatives to provide account status updates.
  • Assist sales team with customer account questions, balances, and payment history.
  • Help verify credit terms or payment arrangements for new and existing customers.

6. Recordkeeping & Compliance

  • Maintain accurate and up-to-date customer account files and transaction records.
  • Ensure compliance with company policies and procedures related to payment handling and account management.
  • Support month-end close processes with accurate data entry and reconciliations.

Qualifications:

  • High School Diploma or GED required.
  • Minimum 1 year of experience in accounts receivable or administrative support.
  • Familiarity with billing, credits, payment processing, and reconciliations.
  • Strong proficiency in Microsoft Office (specifically Excel and Outlook).
  • Valid Driver’s License
  • Must be at least 18 years of age.
