About the Role

Ascend is seeking a highly organized self-starter to provide high-level administrative support to Ascend’s Chief People Officer (CPO). The ideal candidate must thrive in a fast-paced, energetic environment and relish building systems and structures that create a high-performing organization.

Key Responsibilities

Executive Support

  • Manage the CPO's calendar with precision, including scheduling meetings, prioritizing appointments, and ensuring the executive's time is optimized
  • Handle confidential correspondence, screen incoming communications, and respond to inquiries with professionalism and discretion
  • Prepare and organize materials for meetings, presentations, and travel arrangements
  • Anticipate the CPO's needs and proactively resolve administrative matters

Office Management

  • Serve as the primary point of contact for the CPO's office, handling inquiries and fostering positive relationships
  • Maintain organized filing systems for both digital and physical documents
  • Process expense reports and manage administrative budget items
  • Coordinate logistics for executive meetings, including room bookings, catering, and technology setups

Communication & Coordination

  • Draft correspondence, reports, and presentations on behalf of the CPO
  • Take detailed minutes during executive meetings and ensure proper follow-up
  • Liaise effectively between the CPO and other executives, board members, and key stakeholders
  • Facilitate clear communication between the CPO and team members

Project Coordination

  • Assist with special projects by gathering information, tracking progress, and meeting deadlines
  • Research and compile data for executive decision-making
  • Support the execution of company-wide events and recognition programs

Staff and reporting relationships

The Special Assistant will report directly to the CPO and collaborate closely with other members of the Executive Team.

Qualifications

  • 3+ years of assistant experience, preferably supporting C-level executives
  • Bachelor's degree preferred but not required with equivalent experience
  • Advanced proficiency in Microsoft Office Suite and Google Workspace
  • Exceptional organizational abilities with meticulous attention to detail
  • Outstanding written and verbal communication skills
  • Proven ability to handle confidential information with discretion
  • Strong time management with the ability to prioritize effectively in a fast-paced environment
  • Professional demeanor with excellent interpersonal skills
  • Ability to anticipate needs and be proactive in problem-solving
  • Adaptability to changing priorities and deadlines

Compensation

The salary range for this position is $70,000 - $85,000. Several factors such as candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered. This salary range is reflective of a position based in New York City.

This is a full-time, exempt position offers a comprehensive benefits package including:

Location & Work Arrangement

  • Based in our Brooklyn, NY office
  • Hybrid work schedule requiring in-office presence at least three days per week
  • Occasional professional conference travel

In-person work expectations include network office time, stakeholder meetings, school visits, special events, and other role-specific responsibilities as determined by management.
